Terms and Conditions

Order process:

A signed order, along with a security deposit of 50%, is required to initiate the order process. The balance must be paid in full prior to shipment of your materials. Roots Wood Productsis not responsible for the calculation or the collection of applicable sales tax.

Shipping:

Roots Wood Products takes exceptional steps to ensure that the integrity/quality of our product is not compromised in the shipping process, however, inspection of the flooring is recommended upon delivery and prior to installation.

Flooring materials are typically delivered via common carrier i.e. Roadway. Customers are responsible for off-loading materials. LTL trucks are typically long (36’), they need ample room to turn around. If you suspect any issues regarding delivery, please make us aware so that we can make alternate shipping arrangements for your delivery. Failure to do so can result in additional shipping charges.

Damage: In the unlikely event of obvious damage, request the BOL from the driver. Indicate “DAMAGE” along with your signature. This is necessary for filing a claim. Roots Wood Products will not be responsible for filing a claim without notation on the delivery/BOL. DO NOT DISPOSE OF DAMAGED MATERIAL. If the shipment is a catastrophic loss “refuse” delivery. Report freight damage to Roots Wood Products immediately upon receipt of materials.

Shipping Delays: Roots Wood Products will make every effort to provide your flooring on time. Roots Wood Products will not be responsible for any delays including mechanical break downs, labor strikes, acts of God, material shortages and any condition beyond our control. Shipping dates stated on sales order or invoice are best estimates.

Purchaser Responsibilities:

Installation-it is the customer’s responsibility to follow any/all NWFA standards for wood flooring installation. In the unlikely event of failure Roots Wood Products retains the right to have an independent inspector to assess the situation. The cost of the inspector is the responsibility of the party at fault, along with cost of new materials. Roots Wood Productswill not cover the cost of lodging, demo, removal or other ancillary items related.

Moisture Content-It is the customer’s responsibility to verify the moisture content level of flooring upon delivery. NWFA standard: (7%-9%). Any moisture claim must be filed with 5 days of receipt/delivery of flooring.

Quantity-It is the customer’s responsibility to verify the quantity of the flooring received. Claims must be filed within 5 days of receipt/delivery of flooring.

Color-It is the customer’s responsibility to verify the color of the flooring to be accurate. Color “variation” is to be expected, and not considered a defect. Once the flooring has been installed, the installer and purchaser have deemed the flooring acceptable and Roots Wood Products assumes no responsibility after installation regarding color. Subsequent orders for the same project may vary in dye lots.

Environment-It is the customer’s responsibility to maintain the flooring in an environment in which one can expect top performance. NWFA guidelines apply. The interior environment is “controlled” to stay within a relative humidity range of 30 to 50 percent and temperature range of 60 to 80 degrees Fahrenheit. Seasonal movement is to be expected and is not considered a defect of any sort. Proper cleaning is considered maintenance of the floor. It is the responsibility of the client to use proper cleaning methods for the flooring as stated by the manufacturer.

Storage-Roots Wood Products will warehouse sold materials for thirty days after completion of production at no cost. Materials not shipped after 30 days will be charged $75.00 per skid each month thereafter at the expense of purchaser.

Warranty Claims:

In the unlikely event of a claim, the claim must be made no later than (30) days after the issue appears. The original invoice will be required. The flooring must have been purchased from Roots Wood Products and must be paid for in full. As stated prior, Roots Wood Products reserves the right to hire an independent inspector and the right to take samples of the flooring for analysis.
